Seaman High School Band Booster Club Minutes

September 3, 2009

The meeting was called to order at 7:00 pm by Kevin Carpenter, president. All officers except Randy Perkins were present. About 35 parents present.

Minutes

Debbie Isaacson reported the minutes from August were emailed. She also read the minutes. Motion seconded and carried to approve the minutes with one grammatical correction noted by Debbie.

Treasurer's Report

TA Bonnewell read the treasurer's report. The bank balance currently is $6,032.86. Copy of treasurer's report passed around. Motion made and seconded to approve treasurer's report.

Ms. Seago's Report

  1. T-shirts are in, they came in this morning, most of the students took them home today. A few booster club shirts were missing, Ms. Seago will keep track, Cindy Garrison will follow up as well. One more opportunity for ordering shirts will probably be early next week, Ms. Seago will send out email to Debbie when she is ready.
  2. Shoes - have been handed out, the money has been taken out of accounts, gloves have been ordered but haven't arrived yet. Upperclassman probably didn't need to order gloves or shoes.
  3. 1st game is tomorrow night. Uniforms are checked out, a couple more still need them, if taken home they need to make sure and bring them back in time for the game.
  4. Student Fund Raiser: (Cookie Dough) Next week order forms due - cookie dough - no money taken up front, all on delivery, beginning of October, right before homecoming. Delivered and packaged for each student. When collecting money it is preferred that parents write one main check, however if individual checks are given make sure they are payable to 'Seaman Bank'. Prefer no cash but will accept. Due next Wednesday (9/9). Students get at least $4.50 per tub sold.
  5. Magazines, not doing this year. The second student fundraiser has not yet been determined but will be in the spring.

Old/New Business

  1. Fireworks: Have not heard from anyone... they did go on a 5 week vacation... will follow up if we don't hear anything soon.
  2. Band photos - September 8th, is EARLY morning - individuals start at 6am, group photo at 7am...no problems expected.
  3. Tuesday parent/family night... Thanks everyone for coming and hearing our kids perform! Debbie asked for feedback from parents who were involved the year before when the event was a picnic for general discussion. Lynne Carpenter shared that Mr. Stahly was thinking of alternating years with refreshments/picnic.

    Overall thoughts included: the picnic was a nice way to get to know people and welcome new freshman/new students. One option would be to collect donations to help offset the cost.

  4. Website Update (www.seamanvikingbands.com) - We are currently waiting for codes from Luke Turner who has agreed to get Dewayne Christensen the passwords for the band website.
  5. Trivia Night - Nancy Ruoff is willing to chair the trivia night event - possible dates discussed. November 14th was chosen as the best option. Please keep this date open and plan to attend!

    Trivia night explained to parents attending. There were 14 teams 1st year, over 30 teams last year, teams consist of about 8 member.

    Mother Teresa donates the hall, we just pay a small fee for insurance coverage. Will need people to do concessions. Dennis Perenboom would do trivia questions.

    Contact Nancy if you would like to volunteer to help, will need people to help with prizes and concessions. We do have a list of people who have already volunteered, provided to Nancy. A flyer will be emailed out to parents once plans are finalized. Last year we made over $1,500 at this event.

    We do request pre-registration...intergenerational teams are desired!

  6. Bleacher chairs: (from presentation from last meeting) They do not fit our bleachers in the gym. For 25-event minimum it would be tough without the use gym events. Will not pursue this idea at this time.
  7. Value cards: Last year we used the printed/disposable. For each card we sell for $5 we would get $3.50 profit. Logistics of selling them was discussed including passing them out at the fall concert, having parents sign them out is a definite possibility. General discussion of selling at games, The Fine arts boosters would be willing to share a table at the game. Motion made and seconded to have Kevin look into the $5 cards and sell them.
  8. Nuts - this was an idea presented last year by the "Just Nuts" company at the mall, this might be a potential student fundraiser, Mr. Stahly will have to look into.
  9. Fundraising opportunity: Saturday, 19th of September, Lea Tatum Haskell is having a Silpada jewelry open house and would donate proceeds to the band booster, she will get information out to Debbie to email to everyone. (see attached)
  10. Coolers were purchased, were used the other night, 4 were bought, will be stored in the band room to use at our events. Currently they are stored at the Perkins' house during marching season.
  11. Grants: Debbie I. and Lynne C. need to find a time to get together, Debbie has the forms for the Prairie Band Grant. Audra Gragg offered to help. Pending.
  12. Committee leaders and volunteers - Still need a chair/co-chair for a few. We have so many things coming up the first of October. Forms passed around to sign up. If you were unable to attend the meeting and are willing to chair/help please let Kevin Carpenter or Debbie Isaacson know. Emails listed at the bottom of the minutes.

    Wed. October 7th is fall concert - will need a few volunteers for setting up ice cream/lemonade, we will use ice cream left over from the parent night, collect donations for it.

    General discussion of upcoming band events. Parents are encouraged to attend the marching competition events, as they are memorable events. Good to wear your shirts.

  13. Homecoming: Mr. Colhour offered trailer and truck for a float for the homecoming parade for the parents to create/ride on. Possibly following the band in the parade? Motion made to put together a float, seconded and carried. Stacy Colhour will follow up on with central office for entry. Will use donation only for supplies, no money approved from Booster account.

Motion made to adjourn, seconded and approved. Adjourned at 8:30 pm.

The next Band Booster meeting will be on October 1st. Plan on decorating a float!!
