Seaman High School Band Booster Club Minutes
August 13, 2009
Present: Kevin Carpenter, President, Randy Perkins, Vice President, Debbie Isaacson, Secretary, Ms. Seago, about 60 parents.
Absent: TA Bonnewell, Treasurer
Introductions of Officers, General information shared about the purpose of Band Boosters. We meet the first Thursday of each month at 7pm in the band room. All parents are welcomed and encouraged to come, no membership fee required.
Minutes
Minutes of May, 2009 meeting were deferred. Debbie did not have them done yet. Last year the minutes were emailed as a forum for preview - Debbie hopes to do that again this year.
Treasurer's Report
Current balance $5,772.18, It was reported that we switched from Educational Credit Union to Kaw Valley State Bank. This was a decision made in May. We have received a few small donations recently, thanks to some requests made by Kevin to help fund our back to school get together. Motion made, seconded and carried to approve report as proposed.
Ms. Seago Report
- Bank accounts previewed - student's account status is always posted in the band room. Parents can email Ms. Seago with questions. The handbook will cover deadlines for money balances. $20 has been taken out for fees ($20 additional for drumline), any fireworks money has not been deposited yet. The fundraiser for the students (cookie dough) will be starting at the first of September.
- T-shirts - only $6 this year. The parents have requested to purchase the same shirts as the band, but with 'band boosters' on there, Ms. Seago said that would be fine, she will add that into the order form. The parents shirt money will come out of the student account as well. Parent Cindy Garretson offered to help Ms. Seago with this.
NEW BUSINESS/COMMITTEES
- Fundraising opportunity: Linda Sloan presented an opportunity for "Bleacher Buddies" - they are working with non-profit organizations only and have selected this area as a test market. We would be guaranteed $500 per 100 chairs when delivered and $500 when returned. All other money will be strictly donations people give when they use a chair. Parents would have to set up table to hand out and make sure we pick up after the event. There would be advertisers on the back of each seat and we would need to get all 100 out at all of the events. General discussion after her presentation, including parent manpower to do it, storage space, and if ok with administration. Randy said he would contact administration. No decisions made tonight, on hold for now and please bring your thoughts to the next meeting.
- Band Website (www.seamanvikingbands.com) is not updated for this school year. Dewayne Christensen is willing to take over the website management, Debbie will contact our current webmaster, Luke Turner, to get access codes.
- Grant opportunities - Debbie and Lynne Carpenter will work together to see if they can get together information to apply to Prairie Band for grant money. We have applied numerous times over the years and have been denied.
- Keep ideas for fundraising open. The next big trip will be during the 10–11 school year, to New York City. The Band Boosters typically fund the transportation, which will be easily over $25,000.
- Cooler purchase: Randy Perkins brought up the idea of purchasing large coolers for band boosters to use after parades and at other events. A motion was made to spend up to $100 dollars to buy coolers. Motion seconded and passed.
- Water: Last year we collected $5.00 per family towards the purchase of water bottles, instead of collecting donations of water bottles. We would like to do that again this year. Kevin will coordinate.
- Calling tree: Would like to utilize calling post.com instead of our traditional calling tree. There is a small fee, 11 cents per call. Debbie and Randy will work on getting this running, Motion made to allow us to spend the money for this. Seconded and passed.
- Trivia night: This was something we have done the past several years, and is a lot of fun. We would like to organize this event again this year, Nancy Ruoff was our coordinator, she is not here tonight, Kevin will check with her before the next meeting.
- Need to send thank-you's to business/individuals from the Band BBQ/Auction - a postcard picture of the band. Will need $150 for this, motion made to spend $150 on the mailing. Seconded and passed.
